What you're trying to book
Hiiragiya has been owned by the same family since 1818, and is one of Kyoto's 'big three' historic ryokan alongside Tawaraya and Sumiya. Twenty-one rooms, all with private gardens and deep cedar baths. Guests have included Charlie Chaplin, Yukio Mishima, Ayrton Senna, and the Japanese imperial family.
Autumn leaves and cherry blossom weeks are booked nine to twelve months out. A weeknight in late May or early September is usually the sweet spot for a first-time visitor.
How reservations actually work
Hiiragiya accepts reservations by phone at +81-75-221-1136 or by email at info@hiiragiya.co.jp. The English-language site exists, but the reservation conversation itself is conducted in Japanese, and the deposit is collected by bank transfer within a few days of confirmation.
Most Tokyo or Osaka luxury hotel concierges will place the call on your behalf for a tip of ¥2,000 to ¥5,000. Emailing directly works if you are flexible on dates, but replies can take several days and are in Japanese.
